We are looking for a proactive and detail-oriented Executive Assistant with a strong background in sales support, appointment setting, and outbound outreach via email and phone. This role supports senior leadership by managing day-to-day administrative priorities while also driving lead generation activities, nurturing prospects, and helping move opportunities through the pipeline.
The ideal candidate is organized, resourceful, confident in communicating with prospects, and comfortable balancing administrative responsibilities with revenue-support tasks.
Responsibilities:
Pipeline & Outreach
Executive & Administrative Support
- Manage executive calendars, schedule meetings, and coordinate across multiple time zones.
- Organize inboxes, draft responses, and prioritize communications requiring executive attention.
- Prepare meeting agendas, take minutes, track action items, and ensure follow-through.
- Coordinate travel arrangements, itineraries, and logistics when needed.
- Maintain organized records, CRM updates, and internal documentation.
Sales Support & Appointment Setting
- Conduct outbound outreach through email, phone calls, and LinkedIn to generate and qualify leads.
- Schedule discovery calls and demos for the executive team and ensure prospects are prepared.
- Follow up consistently with warm and cold leads using structured sequences and messaging.
- Maintain accurate CRM records, including notes, statuses, and next steps.
- Assist in preparing proposals, presentations, and client onboarding materials.
Outbound Outreach Execution
- Support campaign execution through platforms such as Apollo, SmartLeads, GoHighLevel, or similar tools.
- Personalize outreach messaging based on prospect profiles and industries.
- Track response rates, conversions, and outreach performance metrics.
- Provide feedback on messaging and campaign effectiveness to improve results
Ad Hoc Executive Support
- Provide flexible support on special projects, urgent requests, and shifting priorities from leadership.
- Assist with research, reporting, presentations, and documentation as needed.
- Support internal coordination across departments to ensure timely execution of initiatives.
- Step in to handle time-sensitive operational gaps to keep workflows running smoothly.
Qualifications
- 2+ years of experience as an Executive Assistant, Sales Assistant, SDR, or similar role.
- Proven background in appointment setting, outbound prospecting, and client communication.
- Strong written and verbal English communication skills (neutral, professional tone).
- Highly organized with strong time management and multitasking ability.
- Comfortable working with CRMs and outreach platforms.
- Strong problem-solving skills with a proactive mindset.
- High level of professionalism, discretion, and reliability.
Preferred Skills (Nice to Have)
- Experience supporting agency leadership or working in a remote environment.
- Familiarity with digital marketing or staffing industries.
- Experience with reporting dashboards and sales tracking tools.

- Appointment bookings per week/month.
- Lead response time and follow-up consistency.
- Outreach conversion rates (reply, booked call, qualified lead).
- CRM accuracy and task completion rate.
- Executive satisfaction and operational efficiency improvements.
Work Setup
- Full-time remote role.
- Requires strong internet connection and a quiet workspace.
- Must be available during assigned business hours and responsive to leadership needs.
