Purpose:

This role is responsible for handling all the administrative tasks of the company and ensuring efficient and smooth day to day operation of the business. Duties of the Senior Administrative Assistant include providing back office administrative support to our managers and employees, management report preparation, meeting and event management, issue resolution, process review and improvement, auditing, and people management. 

Duties and Responsibilities:

  • §  Providing back office support to our managers and employees which includes general administration, sales and marketing, procurement, inventory management, accounting and finance support services 

  • §  Prepare regular management reports and extract/present data analytics to management

  • §  Provide guidance to administrative assistants on their daily tasks and activities

  • §  Review and approve all reports prepared by administrative assistant   

  • §  Perform audit of the back office processes and report findings and preventive fix to management 

  • §  Check and validate sales and expense reports, inventory reports against supporting documents (invoices, expense reimbursement forms, inventory pull out forms, bank documents, etc) 

  • §  Plan/organize regular management meetings and prepare/consolidate materials to be used for the meeting (i.e. meeting presentation, handouts, etc). 

  • §  Liaise with administrative assistants to handle request and queries from management and sales team  

  • §  Assist with sourcing and procurement of marketing materials/supplies (brochures, fliers, catalogs) required for day to day operations and also for events and exhibits needs

  • §  Assist with the organization and coordination of marketing and promotional events, such as conferences, exhibitions, trade shows.

  • §  Assist with the production and uploading of materials on social media/e-commerce pages and other support needed by the marketing lead

  • §  Issue and Conflict Resolution - Point of escalation for any issues encountered with clients and suppliers 

Qualifications and Requirements:

§  Bachelor’s degree in accounting, business administration, or any business related course. 

§  Proficient in Microsoft Office applications

§  Strong analytical and problem-solving skills

§  Attention to details

§  Excellent organizational skills with ability to multitask

§  Excellent time management skills with ability to prioritize tasks

§  Excellent written and communication skills

§  Customer oriented, patient, and confident personality

§  Team-player with ability to build relationships with a wide variety of people

§  Experienced team leader
