Job Summary:We are looking for a Paralegal to provide advanced legal support, conduct research, and manage case administration to ensure efficient legal workflows. The ideal candidate for this role should demonstrate expertise in legal drafting, familiarity with Australian law, and proficiency in case management tools. This role is critical for maintaining compliance, streamlining documentation processes, and enabling seamless coordination of legal
matters.
NSW Conveyancing/Property Law:- Assist with the whole conveyancing process from pre-exchange to settlement. Which includes:
- Obtaining all searches, pest & building reports, strata reports, statutory inquiries.
- Compiling contracts for review by solicitor.
- Preparing settlement figures (including contacting relevant authorities to confirm amounts owing)
- Liaising with real estate agents to confirm deposit amounts.
- Opening files in LEAP to then produce initial documents/cost disclosures/letters (precedent based)
- Ordering and meeting client identification compliance;
- Compiling NSW stamp duty/NSW first home buyer paperwork; and
- Inputting time entries and preparing invoices.
Leases:- Preparing NSW retail/commercial leases.
- Drafting advices in relation to lease documents.
Estate Law:- Completing institution forms (banks/super/share forms).
- Preparing and inputting Estate information in the NSW Supreme Court Probate portal to complete Probate applications and notices.
- Drafting and preparing initial letters to client and various institutions (precedent based).
- Inputting payment requests (into LEAP) and confirming trust account details with third parties.
- Returning of requirements to institutions.
- Preparing distribution authorities/statutory declarations (precedent based).
- Inputting time entries and preparing invoices.
Family Law:- Uploading and inputting (filing) into the Commonwealth Courts portal to file relevant Court documents.
- Producing initial letters with pre-requisite forms and cost disclosures.
- Producing cost advised and updates throughout the matter.
- Inputting payment requests (into LEAP) and confirming trust account details with third parties.
- Contacting Barrister chambers to confirm their availability.
- Contacting process servers to serve Court documents.
- Collating and preparing Briefs to Barristers.
- Preparing divorce applications and consent orders.
- Preparing binding financial agreements (BFA).
- Inputting time entries and preparing invoices.
Civil Litigation:- Preparing initial letters and cost disclosures.
- Obtaining quotes from experts.
- Preparing statements of claims and defenses (if experienced).
- Contacting Barrister chambers to confirm their availability.
- Collating and preparing Briefs to Barristers.
- Producing court forms for filing.
- Converting statements to Affidavits.
- Compiling annexures to Affidavits.
- Compare Scott schedules/defect reports/expert reports and provide a summary of these reports.
- Preparing PEXA caveat workspaces and property transaction related documents.
- Inputting time entries and preparing invoices.
- Filing and serving applications to all NSW Courts and NCAT.
Requirements
Requirements/Skills Needed:- Education: Bachelor's degree in Legal Studies, Political Science, or related. Paralegal certification preferred.
- Legal Experience: 3-5 years in a paralegal capacity, preferably with an Australian or common-law firm background.
- Technical Skills: Solid understanding of legal terminology and procedures; proficiency in MS Office and document management systems.
- Soft Skills: Excellent English communication, organizational agility, problem-solving approach.
- PEXA (settlement platform) experience.
- NSW Property Law Experience desirable.
- LEAP (legal software file management) experience would be appreciated but not essential.
Additional Job Details:Set-up and Location: Onsite- Ortigas, Alabang, Pampanga and Cebu
Work Schedule: 8:30 AM to 05:30 PM AEST (06:30 AM - 03:30 PM PH Time)
