The Opportunity
Will be specifically responsible for controlling the numbering, filing, sorting, transmittal and retrieval of electronically stored or hard copy documentation produced by technical teams, projects or departments in a timely, accurate and efficient manner.
Support the project manager on reporting of document progress and status.
Periodically, he/she will be responsible for training employees on records management procedures and policies, which include documentation, retention, retrieval, destruction and disaster recovery.
He/she will also assist with file migrations and audits, and perform administrative tasks as needed.
This is a 1-year fixed term appointment.The role will commence with the first 6-months being based at Arup’s Ortigas office and will move after 6-months to the site office in Cagayan De Oro.
Your role in our team
- Complies and maintains control records and related files to release documents to internal and external teams.
- Examines documents such as, but not limited to, reports, drawings and associated project records to verify completeness of transmittals.
- Confers with engineers to resolve discrepancies and complies required changes with documents.
- Prepares reports and memorandums
- Maintains records of all documents and drawings and their distribution clearly.
- Maintains the document and drawings in a safe custody without any damage or deterioration with easy traceability.
- Maintains the files and control logs as required by the project.
- Fulfil responsibilities on the other areas of action that may be required from time to time.
Is this role right for you?
- A graduate of any four-year course
- With at least 3 years’ relevant experience gained from similar industries
- With working knowledge on electronic document management systems; for example ACONEX, etc.
- Highly organized and focussed on detail
- With good written communication skills
- Positive team orientation
- Can organize and present data effectively in MS Excel
