This role is based in Clark Pampanga.

Position Summary:

We are seeking a highly capable and experienced Executive Assistant / Virtual Assistant to support senior management and project teams for one of our key clients. The ideal candidate will be confident in communication, possess strong administrative and organizational skills, and handle multiple operational tasks independently. This role requires proficiency with digital collaboration platforms and a data-driven approach to reporting and document management.

Key Responsibilities:

  • Act as the primary administrative contact, confidently managing phone calls, emails, and stakeholder interactions.
  • Manage calendars, schedule meetings, and attend meetings to take accurate minutes and track action items.
  • Prepare, organize, and maintain documents, reports, and project files, ensuring version control and accessibility.
  • Conduct research and compile data to support business presentations and decision-making.
  • Provide data analysis and generate regular reports to track key business metrics.
  • Assist with project management tasks using Monday.com, including task tracking and follow-up.
  • Manage communications via Slack and Outlook to ensure timely responses and updates.
  • Support document control processes and maintain confidentiality of sensitive information.
  • Coordinate with accounting teams via Xero and other relevant systems as needed.
  • Adapt and learn client-specific custom software tools.
  • Collaborate closely with internal teams and offshore providers to ensure consistent workflow and project delivery.

Requirements:

  • Proven experience as an Executive Assistant or Virtual Assistant, preferably in an offshore or remote environment.
  • Excellent verbal and written communication skills with confidence in handling phone calls.
  • Strong organizational, multitasking, and time-management abilities.
  • Experience with minute-taking and meeting documentation.
  • Solid proficiency in Microsoft Excel, Outlook, and project management tools such as Monday.com.
  • Comfortable using Slack and other communication platforms.
  • Basic data analysis and reporting capabilities.
  • Ability to conduct online research and create polished presentations.
  • Demonstrated ability to work independently, manage priorities, and meet deadlines.
  • Experience or willingness to learn industry-specific software.

Pay: Php40,000.00 - Php50,000.00 per month
