Description

Reporting directly to the President and CEO, the Executive Assistant provides executive support and serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the Board of Directors. The Executive Assistant also serves as a liaison, manages and coordinates executive outreach and external relations efforts, and supervises key projects. The ideal candidate must demonstrate good judgment, have strong written and verbal communication, administrative, and organizational skills, and the ability to balance multiple priorities. The Executive Assistant must be independent in handling projects and managing diverse activities and confidential matters with discretion, even under pressure.

 

1.      Provide high-level administrative support to the President and CEO, including but not limited to managing and prioritizing the executive's schedule, appointments, meetings, and travel arrangements.

2.      Maintain and organize the executive’s files and records, ensuring timeliness and accuracy in preparing correspondence, communications, presentations, and other documents while handling confidential and sensitive information with discretion.

3.      Manage incoming and outgoing communications for the CEO/President, including but not limited to email, phone calls, events, and various communication channels.

4.      Manage and coordinate key projects and initiatives as assigned by the CEO/President, tracking the progress and completion of deliverables through regular updates, progress assessments, and the use of project management software tailored for the Board of Directors.

5.      Develop and maintain relationships with stakeholders, including clients, partners, and potential networks, through regular communication, engagement initiatives, and networking events as necessary.

6.      Arrange travel itineraries, accommodations, and transportation for the executive. Prepare travel expense reports and ensure timely reimbursement.

7.      Serve as a liaison among the Board of Directors, ensuring efficient communication and coordination for personal and professional matters while prioritizing cost and time efficiency.

8.      Manage procurement tasks, ensuring supply replenishment and equipment maintenance as necessary.

9.      Administer expense reports to ensure timely reimbursement and facilitate fund liquidation.

10.   Conduct research and gather information to assist the executive in decision-making. Provide recommendations and insights on various matters.

11.   Perform other duties as assigned by the President/CEO to ensure the smooth operation of the executive office.

Requirements

●       Bachelor's degree in Business, Office Administration, Management, or a related field preferred.

●       Proven experience as an Executive Assistant or in a similar role, preferably supporting executives.

●       Exceptional organizational skills and the ability to multitask effectively in a fast-paced environment.

●       Strong written and verbal communication skills, with the ability to communicate with internal and external stakeholders.

●       Excellent interpersonal skills and the ability to maintain professionalism and confidentiality.

●       Flexibility and adaptability to changing priorities and responsibilities.

●       Willingness to travel and work outside of regular business hours as needed.

●       Proficiency in office software and tools, including Microsoft Office Suite and project management software.

●       Advanced knowledge of office software and tools, including Microsoft Office, Google Meet, Gmail, Google Applications, and Canva.
