  • Manage, organize, and maintain documents in both paper and electronic filing systems (“Legal Docket”).
  • Maintain a master list of contracts, Minutes of Meeting, Secretary’s Certificates, Board Resolutions, and other related documents.
  • Monitor deadlines and ensure timely compliance with required submissions.
  • Provide general administrative assistance and support to the legal team, including maintaining the team’s calendar and arranging meetings, travel, and other related requirements.
  • Collect, examine, and organize legal documents for the legal team’s review and case preparation.
  • Draft and proofread simple correspondences, letters, and transmittals.
  • Circulate legal documents for signatures by clients, service providers, and internal team members.
  • Facilitate the notarization of legal documents.
  • Conduct research on regulations, laws, and legal articles to assist in preparing reports, case files, and legal advice.
  • Manage billings sent by service providers and law firms.
  • Communicate with suppliers and coordinate with team members to schedule meetings and follow up on requirements.


Qualifications

  • Any Bachelor’s Degree required.
  • Three (3) to five (5) years of experience as an administrative assistant (preferably in a law firm or in a corporate legal department), legal assistant, legal secretary, or paralegal.
  • Detail-oriented and highly organized.
  • Excellent verbal and written communication skills and professional demeanor.
  • Strong knowledge of Microsoft Office, including Word, Excel, and Outlook.
  • Ability to work independently, manage large workloads, and keep deadlines.
