Description

The Payroll Specialist is responsible for overseeing the accurate and timely processing of payroll for all employees. This role involves ensuring compliance with federal, state, and local regulations, managing payroll records, and addressing any payroll-related inquiries or issues. The Payroll Specialist plays a critical role in maintaining a positive employee experience through the proper handling of compensation and benefits.


Job Description

• Process payroll in accordance with federal, state, and local regulations (multi-state).

• Ensure all pay changes—such as new hires, terminations, promotions, raises, bonuses, and deductions—are accurately recorded.

• Maintain and update employee payroll records, including personal data, tax exemptions, direct deposit information, and benefit deductions.

• Ensure compliance with all applicable payroll tax laws and employment regulations.

• Assist with payroll-related journal entries and account reconciliations.

• Maintain payroll documentation and support year-end reporting processes (e.g., W-2s, 1099s).

• Stay current on changes in payroll tax laws and regulatory requirements.

• Support the administration of payroll-related employee benefits, including health insurance, retirement plans, and other deductions.

• Collaborate with the HR department on ad hoc payroll and benefits projects.

• Assist with transaction coding, data entry, and monthly bank reconciliations.


Required Qualifications

• Familiarity with QuickBooks Online, Bill.com, and Paycor.

• Understanding of payroll laws, tax regulations, and compliance standards.

• Strong attention to detail and ability to maintain confidentiality.

• Effective organizational by effectively managing multiple tasks, prioritizing deadlines, and maintaining accurate records.

• Clear and coherent in both written and verbal communication skills by clearly conveying information to internal teams and external partners, ensuring smooth workflows and collaboration.


Screening Criteria

• Bachelor's degree in Accounting, Finance, Human Resources, or a related field.

• Minimum of two (2) years of experience in U.S. payroll processing or a related accounting/HR support role.

• Must have stable employment history.
