Description

Duties and Responsibilities:

  • Handle phone calls, emails, correspondence memos, letters, and forms
  • Organize and schedule appointments, plan meetings and take detailed minutes
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Submit and reconcile expense reports
  • Provide general support and acts as point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Coordinate with the administrative officer or admin department in Makati. 
  • Preparing Gate pass/Permits for any INGRESS or EGRESS of any items. 
  • Take over minimal processes for ANY of the Following: Business Permits (BPLO), Fire Clearances, or any requirements for securing permits. 
  • Checking ALL areas inside office, making sure it's organized.

PEZA Office Permit Process (New/Renewal): 

  • Prepares and submits required PEZA office permits and certificates, including Occupancy, Annual Inspection, Electrical, Electronic, Mechanical, and Fire Safety Inspection.

Government Transactions and Visa Coordination

  • Handles end-to-end processing and submission of visa applications (Tourist Visa, 9G Working Visa, and downgrades), DOLE work permits (Alien Employment Permit and Certificate of Exclusion), and monthly government reports and contributions for SSS, PhilHealth, and Pag-IBIG.

Salary Package:

  • Probationary: 18, 000 PHP
  • Upon Regularization: 20,000 PHP

Requirements

  • Graduate of BS in Business Administration or any management courses
  • With at least 1 year or more experience
  • Proficient in office management systems, procedures and applications (MS Office, Google workspace)
  • Excellent time management skills, ability to multitask and prioritize work.
  • Detail-oriented, problem-solving skills, excellent written and verbal communication skills
  • Strong organizational and planning skills
