Description

The Admin Assistant for Sales will provide crucial administrative and operational support to the Sales team, enabling them to effectively drive sales and achieve targets. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication and interpersonal skills. This role is essential in ensuring the smooth and efficient functioning of the sales department, contributing to Auro Chocolate's continued growth and success.

Responsibilities:

  • Sales Support:
  • Provide administrative support to the Sales team, including preparing sales reports, proposals, and presentations.
  • Assist in the coordination of sales activities, such as meetings, customer visits, and trade shows.
  • Manage and organize sales-related documents, including contracts, orders, and customer information.
  • Process sales orders accurately and efficiently, ensuring timely delivery and invoicing.
  • Maintain and update the customer database and CRM system with accurate and up-to-date information.
  • Assist in tracking sales performance and generating sales reports.
  • Handle customer inquiries and provide excellent customer service.
  • Order and Inventory Management:
  • Assist in managing inventory levels and coordinating with the production and logistics teams to ensure timely order fulfillment.
  • Track and monitor orders, ensuring accurate processing and delivery.
  • Prepare and process shipping documents and coordinate with logistics providers.
  • Assist in resolving any order-related issues or discrepancies.
  • Communication and Coordination:
  • Serve as a point of contact between the Sales team and other departments, such as Marketing, Finance, and Logistics.
  • Communicate effectively with internal and external stakeholders, including customers, suppliers, and partners.
  • Schedule and coordinate meetings, appointments, and travel arrangements for the Sales team.
  • Prepare meeting agendas and take accurate minutes.
  • Administrative Duties:
  • Perform general administrative tasks, such as answering phone calls, responding to emails, and managing correspondence.
  • Maintain office supplies and equipment for the Sales department.
  • Assist in the preparation of budgets and expense reports.
  • Handle confidential information with discretion and professionalism.
  • Perform other duties as assigned by the Sales Manager or other members of the Sales team.


Requirements

  • Educational Qualifications: A diploma in business administration or a related field is required.
  • Experience Level: Less than 1 year of relevant experience in sales or customer service.
  • Skills and Competencies: Strong communication skills, both written and verbal, along with excellent coordination and interpersonal skills.
  • Working Conditions: Office environment with potential for interaction with clients and team members.
  • Qualities and Traits: Proactive, detail-oriented, and capable of working in a fast-paced setting.
