The Supply Planning Supervisor supports the Senior Supply Planning Lead in maintaining optimal inventory levels, accurate data reporting, and efficient store replenishment. This role is responsible for day-to-day monitoring of stock movement, administrative coordination, and preparation of sales and inventory reports, ensuring smooth operations and excellent customer service within the Modern Trade network.


1. Timeliness and Accuracy of Stock Allocations through Supply and Inventory Planning

a. Prepare and execute store stock allocations as scheduled.

b. Verify the accuracy of data used for stock allocation to prevent under or over stocking

c. Coordinate with the Senior Supply Planning Lead to finalize allocation plans for all Modern Trade stores

d. Monitor delivery, inventory, and sales data to ensure stores have sufficient stock levels.

e. Communicate regularly with the client’s Merchandising Team and Promodisers needs through the Area Manager and Coordinators to align on inventory and sales priorities.


2. On Time Completion of Store Replenishments

a. Ensure accurate and timely processing of Purchase Orders (POs), RTVs, Customer Orders, and stock pull-outs.

b. Coordinate with logistics, merchandising, and warehouse teams for timely deliveries.

c. Track replenishment progress and resolve internal or external issues that cause delays (e.g., pending POs, transport issues).

d. Anticipate store requirements based on sell-out data, seasonality, and promotional activities.

e. Ensure prompt reallocation or transfer of stocks when needed to balance inventory levels.

f. Spot checking of correct inventory records being submitted by Merchandising Team and or Omni Store Operations Team


3. Client Satisfaction and Customer Service Support

a. Respond to day-to-day store and client inquiries on deliveries, price updates, and product availability.

b. Preparation of New product sampling requirements and follow up of approval

c. Maintain positive working relationships with client representatives, ensuring transparency and trust.

d. Provide clients with updates on deliveries, replenishments, and stock status as needed.

e. Support the Senior Supply Planning Lead in maintaining service standards and operational responsivenes and constantly coordinate internally to its superior and MT Head to ensure that all customer concerns are resolved promptly.


4. Reporting and Documentation

a. Collect and review regulary the store sales, inventory, and replenishments reports from the Coordinators and Promodizers through the Area Manager

b. Check for inconsistencies or discrepancies in submitted reports before endorsement for PO encoding or SO processing

c. Generate and analyze sales and inventory reports per store and per account and maintain an up to date and accurate date across all assigned accounts and stores.

d. Support the Senior Supply Planning Lead in preparing monthly and periodic summary reports and analysis for the MT Head

e. Submit regular updates to the Senior Supply Planning Lead.

f. Recommend actions to improve forecasting, allocation accuracy, and report formats


5. Business Process

a. Oversees the routine tasks of Sales Admin Staff in processing stock fill ups, outright purchase orders, returns, processing of consignment sales and other related documentations in SAP.

b. Review and serve undelivered orders through proper monitoring of incoming shipments

c. Ensure the timely processing of orders and fill up to maximize delivery routes

d. Maintain and supervise Sales Admin Staff for accuracy and productivity


QUALIFICATIONS:

  • At least 2 years of supervisory or planning experience in retail or FMCG.
  • Strong attention to detail, analytical mindset, and organizational skills.
  • Proficient in Microsoft Office applications.
  • Excellent coordination and communication abilities.
