Responsibilities:

DUTIES & RESPONSIBILITIES

OFFICE ADMIN

  • Schedule appointments, meetings, and reservations of rooms as needed.

  • Ensure that facilities are clean and in good operating condition.

  • Comply with all safety and health regulations.

  • Resolve administrative problems and queries.

  • Supervise the tasks and workload of the Security Guard and Utility.

  • Active participation in office management, including handling general clerical tasks.

  • Confer with Human Capital department to assist with onboarding, databases, and other duties

  • Complete administrative duties, such as filling out forms and reporting maintenance status

  • Respond to emergency calls for maintenance and repairs.

  • Work with and maintain relationships with contracted vendors and business partners.

  • Maintain physical and digital filing systems.

INVENTORY MANAGEMENT

  • Conduct monthly, quarterly, and annual inventory

  • Manage office equipment and supplies, and order new equipment and supplies as needed

  • Maintain office supplies and manage vendors to ensure cost-effective services

  • Ensure office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times

  • Purchase and canvass items, as needed.

TRANSPORTATION/TRAVEL MANAGEMENT

  • Coordinate and manage travel arrangements including transportation and accommodations.

  • Work with and maintains relationships with contracted vendors and business partners.

  • Coordinate with Group Management related to car plan 

  • Monitor car plans and ensures proper preventive maintenance, servicing, and repair of all office vehicles for top performance and safe operating conditions.

ISO/OTHERS

  • Suggests and finds ways to improve administrative processes.

  • Manage and maintain ISO-related documents

  • Manage ISMS documents, policies, procedures, and records, ensuring they are up-to-date and accessible.

  • Assist with ISMS audits, including preparing documentation, gathering evidence, and following up on audit findings.

  • Ensure compliance with relevant ISMS standards (e.g., ISO 27001) and regulatory requirements.

  • Conduct special projects and other administrative functions as assigned.

Qualifications:

  • Bachelor's Degree in business course or equivalent

  • At least 1-2 years of working experience in the related field

  • Proven experience in general administrative works

  • Has experience in implementation of ISMS 27001

  • Preferably with at least one year of related work experience in a similar industry

  • Amenable to work in Quezon City 4 times a week
