Summary:
The Meetings and Events Coordinator will be the initial point of contact for the Genesys stakeholder looking for guidance regarding meetings, events and payments. The Meetings and Events Coordinator will be responsible for managing stakeholder requests via the Cvent platform. We are seeking a detail-oriented and highly organized Meeting Coordinator with expertise in using Cvent to manage event logistics, including registration, and supporting stakeholders. The ideal candidate will be responsible for facilitating seamless meetings and events, leveraging Cvent’s event management tools to ensure smooth registration processes and effective communication with internal teams and external stakeholders.
Responsibilities:
The primary responsibilities for this role include(but are not limited to):
Cvent Event Management:
- Utilize Cvent’s event management platform to monitor, track, and assign all meetings with meticulous attention to detail through the strategic meeting management triage process.
- Manage Cvent registration requests form by thoroughly checking and making sure the submitted request fields are filled out accurately for the request submitted and go through the correct financial approvals.
- Knowledge of analyzing event contracts and invoices to ensure budget accuracy of all registered Cvent requests.
- Monitor and manage the [email protected] mailbox by being the primary point of contact for event stakeholders, including internal teams, external vendors, and participants for any Cvent related requests.
- Track and monitor any Higher Spend limit approvals in the mailbox for virtual credit cards requested.
Timely Registration Monitoring:
- Oversee real-time monitoring of event registrations, ensuring data accuracy and troubleshooting any issues in real time. Respond to attendee inquiries promptly, providing excellent customer service.
Troubleshooting & Problem-Solving:
- Proactively identify potential registration or technical issues and take corrective actions to resolve them in a timely manner to prevent any disruption to the attendee experience.
Stakeholder Support:
- Collaborate with key stakeholders to gather key information requirements on the registration form.
- Provide ongoing support to stakeholders, including troubleshooting and resolving any issues related to Cvent request
Reporting and Analysis:
- Generate and analyze event reports using Cvent’s reporting tools to provide insights on data
- Present findings and recommendations to stakeholders to improve future events.
Technology and Process Improvement:
- Stay current with Cvent updates and new features to ensure that the event registration process remains efficient and effective.
- Continuously improve processes and workflows related to event registration and Cvent platform usage.
Required Skills and Abilities:
- Strong organizational skills: Ability to manage multiple tasks and deadlines effectively.
- Excellent communication skills: Ability to communicate clearly and effectively with a variety of stakeholders.
- Problem-solving skills: Ability to identify and resolve issues that arise during the planning and execution of meetings.
- Attention to detail: Ability to ensure accuracy and completeness in all aspects of meeting planning.
- Proficiency in relevant software: Preferably experience with CVENT or similar event management software.
Minimum Requirements:
- 4+ years of administrative experience
