Key Responsibilities

  • Generate and send invoices to customers in a timely manner.
  • Ensure all billing details are accurate and complete.
  • Follow up on outstanding invoices to ensure timely payment.
  • Monitor accounts receivable aging reports and follow up on overdue accounts.
  • Contact customers via phone, email, or letter to collect payments.
  • Negotiate payment terms and arrangements with customers when necessary.
  • Maintain accurate records of all transactions, including payments received and amounts due.
  • Update customer accounts to reflect accurate payment history.
  • Prepare and maintain reports on overdue accounts, payment trends, and collection efforts.
  • Act as a point of contact for customers regarding billing inquiries and payment issues.
  • Resolve disputes or discrepancies related to billing and payments.
  • Provide exceptional customer service and maintain positive relationships with clients.
  • Post payments to accounts, ensuring proper allocation.
  • Assist in the reconciliation of accounts and resolve discrepancies.
  • Process credit memos, adjustments, and refunds as needed.
  • Collaborate with other departments to resolve any issues related to accounts receivable.
  • Provide support to the accounting team with month-end and year-end closing processes.
  • Prepare regular reports on the status of accounts receivable and aging.
  • Analyze trends in payment patterns and identify potential issues.
  • Assist in forecasting cash flow and contribute to budgeting efforts.


Minimum Experience:

  • Minimum 2 years of experience in accounts receivable, billing, or a similar financial role.


Qualifications:

  • High school diploma or equivalent required; associate’s or bachelor’s degree in accounting, finance, or a related field preferred.
  • Proficiency in accounting software (e.g., QuickBooks, NetSuite, SAP) and Microsoft Office Suite, especially Excel.
  • Strong understanding of accounting principles and procedures.
  • Excellent attention to detail and accuracy in data entry.
  • Strong organizational skills with the ability to prioritize tasks.
  • Exceptional communication skills (both written and verbal).
  • Strong negotiation and problem-solving abilities.
  • Ability to work independently and manage multiple priorities.
  • Knowledge of financial regulations and best practices in accounts receivable management.
