Job Responsibilities The Payroll Officer position plays a fundamental role as part of the finance team. The primary purpose of this position is to ensure all payroll transactions are processed efficiently and that all data and information is maintained and up to date.

The Payroll Officer will oversee the payroll functions, ensuring accuracy, compliance, and timely processing. This role will play a critical part in integrating payroll processes with accounting functions and general ledger accounting.

Key Areas of Accountability Onboard and Offboard Staff

  • Communicate all documentation to new starters for processing into HRIS and payroll system (Employment Hero).
  • Calculate and process all termination payments (and where necessary process off-cycle payments).
  • Where requested, prepare Separation Certificates and provide all final payslips for offboarded staff.
  • Prepare and communicate staff movements for Executives.

Payroll

  • Ensure payroll is compliant with current tax legislation, awards, Workcover policies, and employment agreements.
  • Provide regular payroll reporting to the CFO, including payroll summaries, reconciliations, and variance analysis.
  • Oversee set-up and maintenance of employee records.
  • Oversee and process fortnightly pay run (including but not limited to checking and correcting leave allocations for employees).
  • Review and approve payroll calculations, including salaries, bonuses, and deductions.
  • Process salary allocations for each pay run.
  • Process and pay employees’ Superannuation quarterly via clearing house.
  • Reconcile superannuation payments to the general ledger.

Month End

  • Oversee all payroll-related reconciliations in the general ledger.
  • Prepare all month-end salary and bonus accruals and adjustment journals.
  • Prepare all month-end AL and LSL provision journals as per the payroll system.
  • Prepare and reconcile all payroll tax-related journals.
  • Ensure month-end tasks are complete within four working days of the end of the month.
  • Review the accuracy of financial reports and issue them to management by the fourth working day.

Compliance

  • Submit and pay all tax and compliance obligations (including but not limited to Superannuation, Payroll Tax, Instalment Activity Statements, FBT, and PAYG) by the gazetted due dates.

Process and Documentation

  • Review, develop, and implement payroll systems, policies, and procedures to enhance operational efficiency.
  • Identify opportunities for process improvements and work with IT or external providers to implement system upgrades or changes.

Competencies/Personality Traits Essential

  • Qualifications in and/or demonstrated payroll and/or accounting experience.
  • Experience processing payroll for approximately 400 staff from beginning to end.
  • Experience working with financial software packages.
  • Demonstrated experience and ability to meet regular deadlines.
  • Clear & Current National Crime Check.
  • NDIS Orientation Workers Module (when working for the NDIS).
  • High level of adaptive communication skills, both verbal and written.
  • Maintaining dignity and respect through the use of inclusive, accessible, and sensitive language.
  • Ability to work efficiently, manage conflicting priorities, and demonstrate exceptional time management skills.
  • Ability to build rapport quickly and maintain positive relationships with internal/external key stakeholders.
  • An understanding of the principles of confidentiality and privacy.
  • Intermediate to advanced computer literacy skills across all Microsoft Suite/Office Programs and the ability to work across different computer systems to complete work tasks.
  • Ability to foster a culture that is approachable and respects empowerment.

Desirable

  • Experience using Employment Hero.
  • Experience in a similar service environment.
  • If applicable, understanding of the NDIS framework, funding, services, support categories, and procedures.
