This role is part of the Operations Support Team, which provides Essential support to other teams in the business. The main responsibility is to ensure client agreements and projects are set up, recorded, billed, and updated accurately. This includes managing new service setups, contract renewals, pricing changes, and tracking profitability.
The role also supports project setup, billing, and work in progress (WIP) and assists consultants with client information, documentation, scheduling, and licensing coordination.
About the Job
Agreement Management:
- Agreement documentation
- Agreement Change maintenance
- Create agreements for new clients/ existing clients with new products / services
- Management of agreements in conjunction with project milestones
- Agreement profitability improvement - suppliers’ renewals
- Monthly reconciliation for agreement invoicing
Project billing and WIP management:
- Manage WIP -"drive down" - Monthly check of WIP report and completed tickets
- Reviewing completed tickets on support board - ensure they comply with rules for client agreements and have budget
- Coordination of new project setup and project variation
- Project admin maintenance and development - managing budgets, tickets, right docs attached to tickets, etc.
Client and Project Support:
- Client Set up in CW Check
- Booking in meetings
- Quote creation
- Maintain up-to-date client records across CRM, PSA, SharePoint, and documentation tools.
Admin:
- Backup purchasing officer
- Overflow call taking
- Admin Assistance for Account Management
- Admin Assistance for Projects Team
- Maintain internal systems documentation and ensure data hygiene across platforms, i.e. asset databases, client portals, ticketing systems
Your Qualification
- Strong administrative and coordination skills
- 3 years experience in an administrative, operations, or billing coordination role
- Excellent English communication – written and verbal
- Proficient in Microsoft 365 (especially Outlook, Excel, Word, Teams, SharePoint), and familiarity with tools like CRM, PSA, or SharePoint (preferred)
- Understanding of billing processes and invoice tracking
- Basic understanding of financial terminology
- Comfortable working in a remote team using chat, video calls, and task tracking tools
- Experience in client data entry, document management, and maintaining trackers
- Experience supporting project teams, sales, or service delivery teams
- Familiarity with client onboarding, billing, or service agreement processes
