What is this role about?
The role supports dealership operations by processing and managing financial documents, monitoring transactions, maintaining accurate records, and assisting in budget, audit, and compliance tasks.
What will YOU do?
Prepare and process dealership financial documents including Accounts Payable Vouchers (APVs), Sales Invoices, Delivery Slips, and Collection Receipts, ensuring accuracy and compliance with company standards
Monitor daily vehicle sales and unit releases by coordinating with Sales Consultants and reviewing sales reports, ensuring that all transactions are properly documented and accounted for
Assist in preparing and tracking the weekly and monthly operating budget for branch expenses (e.g., utilities, supplies, and petty cash), based on prior expenditures and upcoming operational needs
Perform monthly Bank Reconciliation, verifying deposits, issued checks, and collections to ensure accurate and up-to-date cash and bank records
Maintain organized files of all financial documents, including OR/CR (Official Receipts/Collection Receipts), vouchers, and supporting documents for easy reference and audit readiness
Support the preparation of periodic summaries of sales, revenue, expenses, and cash flow
Ensure timely encoding of financial transactions into the accounting system or spreadsheets used by the branch, supporting accurate month-end closing
Coordinate with internal departments (Sales, Service, Parts, Admin) to gather needed financial data and clarify discrepancies in documents or transactions
Assist in compliance with dealership accounting processes, BIR requirements (e.g., VAT documentation), and other regulatory obligations under the guidance of the Finance Supervisor
Provide assistance during internal and external audits
Performs other functions that may be assigned from time to time
What will YOU need?
Graduate of a four-year course in Accounting, Finance, Business Administration, or a related field
At least 1-2 years of experience in accounting, finance, or administrative support; experience in a dealership setting is an advantage
Basic understanding of accounting principles, bookkeeping, and financial documentation processes
Familiarity with sales monitoring, invoice preparation, and petty cash handling
Proficiency in Microsoft Excel, Google Sheets, and basic accounting tools or software
Strong attention to detail, organization skills, and ability to handle confidential information with integrity
Effective communication skills
Willing to be assigned in San Fernando / Bauang, La Union
